Our client is a wholesaler who sells to retailers through Duoplane. Retailers place orders on Duoplane, and the wholesaler (our client) has vendor access to view and fulfill those orders.

But as their volume grew, the process became inefficient because the team had to repeat the same work across multiple systems.

The Problems They Were Facing

1) Orders were duplicated across systems

When an order was placed in Duoplane:

  • Duoplane created a purchase order
  • the client reviewed and confirmed it there
  • then the team manually created the same order again in Odoo as a sales order

This caused:

  • repetitive data entry
  • higher chances of mistakes
  • slower fulfillment
2) Inventory availability was shared via manual Google Sheets / Excel

To help retailers know what they could order, the client maintained a Google Sheet/Excel file with stock quantities.

But quantities were updated manually, so:

  • stock levels were often outdated
  • retailers sometimes ordered items that were already reserved/unavailable
  • the client spent daily time maintaining the sheet
3) Shipping updates and tracking were also manual

Shipping was handled in Odoo (UPS integrated), but:

  • tracking numbers were typed manually back into Duoplane
  • partial deliveries required manual follow-ups
  • shipping costs were not consistently reflected without extra steps

What the Client Wanted

They wanted one streamlined workflow where:

  • Retailers can see live available stock (without manual sheet updates)
  • Duoplane orders automatically become Sales Orders in Odoo
  • Deliveries processed in Odoo automatically sync back to Duoplane
  • Tracking numbers and shipping costs update automatically (even for partial shipments)

How We Solved It

1) Live Inventory Sync: Odoo → Google Sheet (Automatic)

We integrated Google Sheets with Odoo (via Google Console authentication) and built a simple control inside Odoo:

  • Added a checkbox on products: “Show on Retailer Sheet”
  • Only checked products appear on the Google Sheet (so the client controls what retailers see)

The sheet automatically includes key columns like:

  • product name / variant
  • SKU/reference
  • available quantity (excluding reserved stock, so numbers stay accurate)

Result: Retailers now see live availability, and the client no longer updates quantities manually.

2) Order Automation: Duoplane → Odoo (No Manual Sales Order Creation)

We integrated Duoplane so that when an order is created there, it automatically generates a Sales Order in Odoo.

We mapped products using SKU/reference matching, ensuring:

  • correct product selection
  • correct quantities
  • smooth handling for multi-line orders

Result: No more duplicate order creation.

3) Full Delivery & Shipment Sync (Including Partial Deliveries)

The client fulfills deliveries in Odoo, and we synced delivery progress back to Duoplane automatically.

Example:

  • Order = 100 units
  • first delivery = 50 units → validated in Odoo
  • Duoplane automatically updates to show 50 shipped
  • second delivery = remaining 50 → Duoplane updates again

Result: Partial deliveries are tracked automatically in both systems.

4) Shipping Label, Tracking, and Cost Automation (UPS in Odoo)

Previously, tracking details were entered manually in Duoplane. Now:

  • UPS shipping is applied automatically in Odoo using the client’s default carrier
  • each delivery generates its own tracking number
  • tracking numbers sync back to Duoplane automatically
  • shipping cost is calculated automatically based on shipment weight (from product setup)

Result: Tracking + shipping cost updates happen automatically with each delivery.

The Outcome (Business Impact)

After implementation, the client achieved:

  • Zero duplicate order entry (Duoplane → Odoo automation)
  • Live inventory visibility for retailers (no manual sheet maintenance)
  • Fewer stock errors, because “available” excludes reserved quantities
  • Faster fulfillment, since fulfillment happens fully in Odoo
  • Accurate delivery updates in both systems, including partial shipments
